How to Prepare a Pharmaceutical or Supplement Product Inquiry

A precise product inquiry helps a supplier understand what you need and reduces avoidable questions before a quotation. For pharmaceutical products and nutritional supplements, a name alone is rarely enough: the formulation, presentation, packaging and destination also matter.

1. Identify the exact product

Start with the product name and the active substance or ingredient specification you require. For a medicine, include the strength, dosage form and requested presentation. For a supplement, describe the ingredients and quantities per serving rather than relying only on a marketing name.

When comparing gummy supplements, for example, distinguish the number of gummies in a pack from the number in a serving. Ask for the current ingredient list and label for the particular formulation being quoted.

2. State the pack and container requirements

Specify the number of tablets, capsules or gummies per pack, or the volume and container type for a liquid product. If several presentations are acceptable, list them separately. This helps prevent a quotation for one presentation being compared with another.

For IV solutions, a container volume does not by itself identify the concentration or container material. Request the full specification for the exact item.

3. Include quantities and your destination

Tell the supplier the quantity you are considering, how it is measured, and the destination country. Separate an initial order from an estimated repeat requirement. If you have a preferred delivery location or target date, include those details as a request, so availability and timing can be discussed.

4. Request product information before comparing quotations

Ask for the current product label, ingredient or active-substance specification, packaging details, storage conditions and available shelf-life information. For supplements, questions about allergens, sweeteners or ingredient sources may also be relevant to your intended customers.

Keep the specification together with the quotation. A catalogue entry is a starting point for discussion; the exact product and commercial terms should be confirmed before an order.

5. Make document requirements specific

If your business needs particular product or manufacturing documents, name them in the inquiry and identify the destination market. Ask which current documents are available for that product. Check requirements with the appropriate local professionals or authorities; documents and market availability should not be assumed from a website listing.

6. Compare like for like

Review quotations against the same product specification, pack size, quantity and delivery terms. Record any differences explicitly. A lower unit price may refer to a different presentation, quantity or set of services, so clarify the basis of comparison before deciding.
